Walk-In Cooler Not Holding Temperature? A Troubleshooting Checklist for Restaurants

A step-by-step checklist for restaurants and markets in Palm Beach County when a walk-in cooler or freezer won't hold temperature.

Walk-In Cooler: Troubleshooting Checklist - Cool Moon AC, West Palm Beach

Quick answer: Walk-in coolers should hold about 35 to 38°F, and food safety rules require cold-held food to stay at 41°F or below. When a walk-in runs warm, check the door and gaskets, look for ice on the evaporator coil, make sure airflow isn’t blocked by stacked product, and check whether the condenser coil is dirty. If the box is above 41°F or climbing, move product and call for emergency refrigeration service.

For a restaurant, bar or market in West Palm Beach, a warm walk-in is a race against the clock. Here is the checklist our technicians work through, starting with the things your staff can safely check themselves.

Target temperatures

EquipmentTypical target
Walk-in cooler35 – 38°F
Walk-in freezer0°F to -10°F
Food safety limit for cold holding41°F or below

Step 1: Check the door

  • Is the door closing fully and latching on its own?
  • Are the door gaskets torn, flattened or frozen?
  • Are strip curtains missing or damaged?
  • Is the door being propped open during deliveries or prep?

In South Florida’s humidity, every open door pulls in warm, wet air that the system has to remove. A failing gasket alone can keep a box from holding temperature.

Step 2: Look at the evaporator (inside unit)

  • Is the coil covered in ice? That points to a defrost problem, a fan failure or low refrigerant.
  • Are the evaporator fans spinning?
  • Is product stacked in front of the evaporator, blocking airflow?

Step 3: Check the condensing unit (outside or on the roof)

  • Is the unit running and are the fans turning?
  • Is the condenser coil caked with dirt, grease or debris?
  • Has a breaker tripped?

Condensing units work much harder in Florida heat. A dirty condenser coil is one of the most common causes of a walk-in that runs warm on hot afternoons.

Step 4: Check the thermostat and drain

  • Has the thermostat setting been changed?
  • Is the evaporator drain line clear, or is water pooling or freezing on the floor?

When to call for emergency service

  1. The box is above 41°F or rising
  2. The coil is iced over and defrosting doesn’t fix it
  3. The compressor is not running, or is short cycling
  4. You hear loud buzzing, grinding or clicking
  5. You suspect a refrigerant leak

While you wait: keep the door closed, move high-risk product to another working cooler, and log temperatures for your food safety records.

Prevent the next breakdown

  • Clean condenser coils regularly
  • Replace worn gaskets and check door closers
  • Keep product off the evaporator and away from the fans
  • Schedule preventive maintenance before summer
